MISSION OF THE DEPARTMENT

The WWF Global Conservation Division (GCDiv.) at WWF-International aims to unite WWF Offices around the delivery of a global conservation strategy. It comprises the leaders, teams and related network communities of the nine global practices, the teams of Planning, Enabling & Integration, Global Policy & Advocacy, Global Campaigns, Corporate Engagement, Collective Conservation Impact and Area-based Conservation (or such variations of these departments as may be agreed from time to time). These units work together in an integrated manner to encourage, inform, support and facilitate the optimal convergence of conservation functions across the WWF Network.
MAJOR FUNCTIONS

Supports the Chief Conservation Officer (CCO) and Senior Director Planning, Enabling and Integration in uniting the WWF Network in the collective delivery of WWF‘s Global Conservation Programme, by providing business services related to administrative matters within the GCDiv.; coordinating a variety of projects as and when required.
The GCDiv is comprised of a variety of departments and has a complex matrix organization to manage; as such this role will a) deal with the details of the Division engagement with People & Culture, Finance and the data management/IT systems and processes that the Division needs to be compliant with, and b) coordinate the other Departments/Practices within GCDiv. to ensure that they are aware of and following processes, making timely and accurate submissions. Thus, the Senior Specialist Business Services will make sure any Departments inside GCDiv. understand recruitment, finance and IT processes, have the right permissions and take any engage with P&C, Finance and IT to this end.
At the same time this role will provide active reporting and handle the division’s management information system to track its administrative and business operations.

Major Duties and Responsibilities

  • Support Divisional administrative management is aligned with WWF-International secretariat, to continuously contribute to improving the work of the Division.
  • Coordinate and lead on WWF-I inter-Division communications (routine and ad hoc) to ensure timely, appropriate and transparent sharing of Division information including the coordination of a monthly Division scorecard and progress report.
  • Maintain strong lines of communication, liaise and collaborate with other functional divisions in WWF-I as required. Particularly with P&C, Finance and IT Departments.
  • Support the Senior Director PEI with following up on details and deliverables of the Business Management of the Division as required which may include but not be limited to, budget management, recruitment, contracts, and issues resolution.
  • Design and create reporting presentation materials for the Chief Conservation Officer and Senior Director PEI that are engaging, clear and concise.
  • Additionally, this role will actively support the Senior Expert Global Conservation Committee (GCC) in the effect of management of meetings support, minutes, logistics, scheduling, etc.
  • Interact with conservation impact/knowledge managers /other stakeholders to collate information, analyse and consider trends to support the COO and Senior Director Planning Enabling and Integration in daily management activities and decisions/presentations.
  • Support on the administrative management of special projects as needed by leadership, and in global retreats and in person meetings logistical organization.

PROFILE

Required Qualifications.
  • Experience in Project Management and delivery, project management qualifications desirable.
  • Experience in internal communications and very strong administrative management skills.
  • Experience in contract development and management.
  • Experience of change or transformation projects.
  • Know how on Non-for-Profit administrative management ideal.
  • Fluency in English is essential. Other languages would be an advantage.

Required Skills and Competencies.
  • Demonstrates strong stakeholder management in complex multi stakeholder environments.
  • Strong organisation skills, including file organization in cloud stage solutions.
  • Excellent skills in office tools: Zoom, Microsoft software PowerPoint, Excel, and Word as well as Google Docs and Dropbox.
  • Building credibility and rapport with senior stakeholders.
  • Excellent verbal and written communication.
  • Confident and capable presenting engaging, clear and concise content.
  • Ability to adapt communication and content for a wide range of audiences.
  • Comfortable in fast-paced environments with evolving and changing priorities.
  • Passion for and some knowledge of conservation and sustainability issues.
  • Works to the highest level of integrity and confidentiality.

WORKING RELATIONSHIPS

Interacts regularly with members of Global Conservation Division, WWF International staff, Operations Division, Country Offices and other Secretariat staff. Interactions with Finance, People and Culture, and Network CDs and other senior Network staff; supports interactions, as appropriate, with WWF International Board and NET.
